Booking links and reminders

Leads book a 30-minute consultation with you on your booking page. Ostira checks your Google Calendar so they only see times you're free, then emails them a confirmation and a reminder.

Before you start: connect Google Calendar. See Connect Google Calendar.

  • Your booking page link. Once your calendar is connected, it shows on Calendar. Select the copy icon next to it, then share it anywhere, such as your email signature.
  • A personal link for each lead. When a lead answers the last of Ostira's four questions (timeline, budget, area and motivation), Ostira's reply ends with a link made just for them. See How Ostira handles a new lead.

Both open the same page. The difference is that a booking through a lead's personal link is tied to that lead, so their deal moves to Showing (see How deals move automatically). A personal link does this for 30 days. After that, the lead can still book with it, but the deal won't move.

Which times leads see

The page shows one week at a time, and leads can go to the next week. A time is offered only when it is:

  • inside your weekly availability, in your time zone
  • free on your Google Calendar
  • not already booked by another lead
  • still in the future

Times start on the hour or half hour. To change your hours, go to Profile, set them under Calendar & Availability, and select Save availability. If you have no hours saved, leads see Monday to Friday, 9 AM to 5 PM. If your calendar isn't connected, the page shows "No available slots this week."

How a lead books

  1. The lead opens the link and sees "Book a consultation with" and your name.
  2. They pick a time.
  3. They enter their name and email.
  4. They select Confirm Booking and see "Booking confirmed!" To put the consultation on their own calendar right away, they can select Add to calendar, which downloads a calendar file.

If someone else takes the time first, they're asked to pick another one.

What happens after a booking

  • A "Buyer Consultation" event with the lead's name and email goes on your primary Google Calendar. The lead isn't added as a guest.
  • You get an email with the lead's name and the time.
  • The lead gets a confirmation email right away. It has a calendar file attached (consultation.ics) that adds the consultation to their own calendar, whichever calendar app they use. Adding it doesn't notify you or change your event.
  • The lead gets a reminder email 24 hours before the consultation. If they booked less than 24 hours ahead, there's no reminder.
  • Your event gets a Google Meet link. Both emails and the calendar file give the lead that link. Because the lead isn't a guest on your event, Meet asks you to let them in when they join.
  • The appointment shows under Upcoming appointments on Calendar, and on Insights.

Reminders go by email only. Ostira doesn't text them.
