Pipeline stages and conversation statuses

This page explains the stages on your pipeline, the status shown on each conversation, and the Hot, Warm and Cold temperature Ostira gives a lead.

Pipeline stages

Every account starts with these stages. You can rename and reorder the first five and add your own. You can delete any of them except New Lead, once it has no deals. Won and Lost are fixed.

New Lead A new lead. Ostira puts a deal here when a lead comes in, so this stage can't be deleted. Only when it creates the deal
Contacted You, Ostira or a campaign has messaged the lead, the lead has replied, or the lead has given all four details. Yes
Showing The lead has booked a consultation through their personal link. Yes
Under Contract The deal is under contract. No, only you
Closed The deal has closed. No, only you
Won The deal ended in a sale. Fixed: can't be renamed, moved or deleted. No, only you
Lost The deal ended without a sale. Fixed: can't be renamed, moved or deleted. No, only you

When you move a deal to Won or Lost, you can add an optional reason. Ostira never moves a deal out of Under Contract, Closed, Won or Lost, and never into a stage you added. See How deals move automatically.

Conversation statuses

Each conversation shows one of these at the top.

Status What it means Who replies
Ostira handling Ostira is talking with the lead and asking its questions. Ostira
Ostira paused · needs you You took over, or Ostira paused and handed the lead to you, for example because they asked for a person. You
Qualified · handed to you The lead gave all four details. Ostira scored them and handed them to you. You
Gone cold The lead didn't answer Ostira's messages, including two follow-ups, so Ostira stopped. You

Lead temperature

Once a lead has given all four details (timeline, budget, area and motivation), Ostira gives them a temperature. It's Ostira's judgment from what the lead said, so check it against what you know.

Temperature Typical lead
Hot Ready in under 3 months, with a clear budget, a specific area and strong motivation
Warm Ready in 3 to 12 months, with a rough budget, a general area and some motivation
Cold More than 12 months out, or no clear budget, area or intent

Use Hot only on Pipeline to see just your Hot leads.

"Gone cold" and a Cold temperature are different. Gone cold means the lead stopped replying. A Cold temperature means the lead did answer, but isn't ready to move soon.
